Wer mich näher kennt weiss, dass ich mein Leben mit der „Getting Things Done“ Methode von David Allen steuere. Dies ist eine meines Erachtens sehr gute Methode, um den Kopf frei zu bekommen und entspannter durch den Tag zu kommen. Ich werde später von meinen Erfahrungen mit dieser Methode berichten. Heute möchte ich Euch gerne von einer weiteren Methode erzählen, welche ich seit einiger Zeit aktiv anwende und dadurch besser durch den Tag komme.
Es ist die Pomodoro Technik, welche in den 80er Jahren von Francesco Cirillo entwickelt wurde. Der Name Pomodoro rührt von dem Küchenwecker in Tomatenform her, welchen Francesco Cirillo verwendete.
Das Wesentliche an der Technik ist, dass die Tätigkeiten in kleine Arbeitseinheiten aufgeteilt werden und regelmäßig Pausen eingelegt werden.
Wie läuft die Methode in der Praxis ab? Der Tag beginnt damit, dass ich aus meiner Aufgabenliste die Aufgaben für meinen Tag herausnehme und ich deren Bearbeitungsdauer abschätze. Ich arbeite mit Zeiteinheiten á 15 Minuten, wenn ich also eine Aufgabe auf eine Stunde schätze, markiere ich die Aufgabe mit vier Zeiteinheiten á 15 Minuten. Dann überprüfe ich, wieviel Zeiteinheiten ich für meine Aufgaben (privat & beruflich) und für Pausen geplant sind. Meistens ist das mehr als ich an einem Tag schaffen kann. Also bewerte ich kurz die Aufgaben nach Prioritäten: welche müssen z.B. heute erledigt werden und welche Aufgaben können an einem anderen Termin bearbeitet werden. Als nächstes fasse ich ähnliche Aufgaben zusammen, wie z.B. telefonieren, emails schreiben etc. und teile meinen Arbeitstag in Ein-Stunden-Blöcke ein. Somit kann ich also in einem Arbeitsblock z.B. vier Aufgaben a. 15 Minuten abarbeiten.
Dann geht es auch schon los mit dem Arbeiten. Begonnen wird immer mit den höchst priorisierten Aufgaben, welche unbedingt erledigt werden müssen und ich arbeite mich zu den immer unwichtigeren Aufgaben durch. Nach jedem Arbeitsblock mache ich 15 Minuten Pause. Dies ist wichtig, damit ich nicht unkonzentriert werde oder mich verspanne. Wenn ich streng nach den Regeln der Pomodoro Technik handeln würde, wäre ein Arbeitsblock nicht eine Stunde, sondern nur 25 Minuten. Dies habe ich anfänglich auch so umgesetzt, was mir jedoch nicht so behagt hat. Daher habe ich unterschiedlich lange Arbeitsblöcke ausprobiert und bin bei einer Stunde gelandet und fühle mich damit sehr gut.
Ein weiterer wichtiger Bestandteil der Pomodoro Technik ist eine Reduzierung der Unterbrechungen, egal ob externe oder interne. Jede Unterbrechung wird kurz notiert und auf einen späteren Zeitpunkt verlagert. Vor einem Arbeitsblock wird dafür gesorgt, dass genügend Getränke zur Verfügung stehen und evt. das Telefon auf lautlos gestellt ist, um nicht gestört zu werden. Nach Erledigung wird für jede Aufgabe die real benötigte Zeit notiert, um für spätere Zeitplanungen eine bessere Einschätzung geben zu können.
Ich arbeite nun seit ca. drei Monaten nach der Pomodoro Technik und bin somit noch fokussierter als ich es schon vorher war. Als „Apple-Jünger“ habe ich mir die App „Be Focused Pro“ geholt, welche mich bei der Zeitgebung unterstützt.
